Description: Our client is seeking an Executive Assistant.
The responsibilities of this position include the following:
- Coordinate domestic and international travel arrangements, as necessary
- Handle all domestic correspondence
- Get German documents translated as necessary
- Manage and coordinate calendar
- Read and filter all incoming domestic correspondence. Must be able to anticipate issues based upon content and alert the Vice President appropriately
- Schedule meetings, prioritize and control VP's time
- Answer incoming calls; handle domestic calls. Log calls and prioritize messages
- Proof all documents and recommend changes as appropriate
- Work closely with the German Speaking Executive Assistant(s) when incoming calls, correspondence or guests are in German
- Maintain files, record keeping systems and recommend changes as becomes necessary
- Act as liaison with other departments, on behalf of the Vice President
- Partner with the other Executive Assistants for Senior Staff Members to exchange information, coordinate activities and plan
- Make sure open issues have regular follow-up. Use/develop a comprehensive -follow-up system-
- Learn all about product lines, departmental organization and corporate structure to facilitate all of the above

| Requirements: Candidates must be extremely organized; must be a sophisticated user of Microsoft Office; Power Point, Word, Excel, Outlook; and should have previous experience as an Executive Assistant to a senior staff member. A background in finance or accounting and familiarity with financial reports is required. Manufacturing experience is helpful. Candidates must be highly motivated, able to work with minimal supervision. Supervisory experience is a plus. Knowledge of conversational German language is beneficial, but not required. An Associates degree or minimum one-year college is preferred. A College degree is preferred.
